Description
The Land Management Coordinator will provide support to the Land Management Division and Director of Land Management to ensure that processes and operations are efficient and add value to the Peoples Company platform. The position reports directly to the Director of Land Management and will assist with the day-to-day activities associated with land management.
Responsibilities
Administration Support: Oversee Land Management Division processes and schedules to assist the division in running smoothly and efficiently.
Support the Land Management Division with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings, event registration, etc.).
Participate in company meetings, events, and training programs taking notes and providing summaries as assigned.
Coordinate marketing publications/activities and event management for the Land Management Division.
Maintain division CRM by utilizing Salesforce including up to date client and operator lists.
Data Management: Audit document storage, reporting, and Key Performance Indicators (KPI) across the Land Management Division.
Coordinate weekly and/or monthly accounting reports and check for discrepancies.
Prepare KPI and ‘know your number’ reports across the Land Management Division.
Serve as main project coordinator for data management for programs and platforms used by Peoples Company and Land Management Division. Document processes, track activity, interact with vendors in the onboarding process, and report back to Land Management Division as needed.
Assist with data collection for audit and reporting requirements as directed by the Director of Land Management for annual Leading Harvest membership enrollment and third-party certification.
Client Deliverable Management: Collect documents included in Land Management key client deliverables and track Land Manager performance progress for the Director of Land Management.
Build a process for reviewing and maintaining internal management files and audit regularly to ensure each client file is complete and up to date.
Manage the UCC filing process for all operators as directed by Land Managers. Cancel UCC liens at year-end.
Collect proof of operator liability insurance coverage for all operators and track expiration dates for timely follow-up.
Maintain crop insurance related records in division management platforms.
Track deadlines, expiration dates, and set monthly reminders ensuring Land Managers complete deliverables in a timely manner.
Manage certified mailing process for lease terminations.
Executive Assistant: Serve as executive assistant to the Director of Land Management to complete client deliverables and other assignments as directed.
Schedule meetings and coordinate communication for the Director of Land Management.
Draft client-facing reports and proposals as directed by the Director of Land Management.
Coordinate the collection of receipts, contracts, production data, USDA information, and other documentation needed to build annual client business plans and summer reports for the Director of Land Management.
Complete other duties as assigned.
QUALIFICATIONS
Associate degree or higher in business administration, agriculture, real estate, or a relevant field is preferred.
General understanding of the Federal Crop Insurance Program.
Knowledge of basic bookkeeping principles and office management systems and procedures.
Proficient with Microsoft Suite (Excel, Word, PowerPoint, Publisher) and CRM systems.
Collaborative and able to work in a team environment with excellent communication and interpersonal skills.
Strong attention to detail and analytically minded.
Patient and flexible, especially when unexpected obstacles appear.
Ability to meet deadlines, prioritize assignments, multi-task, and execute at a high level.
Self-motivated and the ability to act independently to make appropriate decisions consistently with moderate to minimal guidance and oversight.
Reliable with patience and professionalism.
Willingness to complete an annual business plan outlining goals and action plans for the upcoming year.
